Complaints form

Send your complaint directly to the Parliamentary Ombudsman by completing the online complaints form below. The form provides a fast and secure way of making a complaint in six simple steps. You can also upload attachments and view and save the complaint before you submit it. The attachments have to be PDF. We can not receive zipped files.

If you do not wish to make your complaint online, under  «Summary» you can open the completed complaints form as a PDF file, print it out and send it to us in the post.

You may also write a letter of complaint and post it to us. View example of a letter of complaint.

Information

When you send an electronic complaints form to the Ombudsman, it is processed just like a regular letter with respect to confidentiality, record keeping and the provisions of the Freedom of Information Act, the Public Administration Act and the Personal Data Act.

The information you provide in your complaints form, will only be stored in our database for the purpose of processing your complaint. The information will not be used in other contexts or by other organisations.

In connection with the submission of complaints the Parliamentary Ombudsman makes use of form services supplied by our data provider CoreTrek. This company will only have access to your information to the extent necessary to transfer your complaint electronically.

The information you enter into the form is sent to us over a secure connection (HTTPS). This means that unauthorised parties cannot see or modify the data you submit. Electronic forms are not cached, and when all the form data are registered in our electronic case handling and archiving system, they are deleted from the form server.

If you enter your e-mail address under «Complainant», you will receive confirmation via e-mail that your complaint has been submitted with information about the further procedure. It is possible to submit the form without entering an e-mail address.

The Ombudsman will reply to your complaint by way of an ordinary letter. All further correspondence will be by ordinary mail. E-mail is not a secure method to send confidential information and will only occasionally be used to answer simple questions and inquiries that do not contain sensitive information or information of a personal nature. Please do not send sensitive information via e-mail.

Employees of the Ombudsman and others who process personal data on behalf of the Ombudsman have a duty of confidentiality as regards information obtained in the complaints.

You can always ask to see personal information we hold about you and request that inaccurate or incomplete personal information be corrected or deleted.
